Scope of work

1. Building Operations Management

  • Oversee daily building operations, ensuring stable and compliant performance.
  • Ensure the proper functioning and scheduled maintenance of technical systems (electricity, water, HVAC, Chiller, elevators, fire protection, telecommunications infrastructure, etc.).
  • Develop and monitor building operation procedures, updating them periodically and reporting weekly.
  • Coordinate with service contractors (security, cleaning, landscaping, waste management, etc.) to maintain service quality.
  • Collaborate with authorities to ensure regulatory compliance.
  • Propose and implement solutions to enhance operational efficiency and service quality.

2. Financial and Budget Management

  • Working with the Financial & Accounting Teams weekly/ monthly as required.
  • Develop and manage the building’s operating budget, monitor expenses, and control costs.
  • Oversee service fee collection, manage outstanding debts, and propose appropriate pricing policies.
  • Analyze financial performance and recommend revenue optimization strategies.
  • Optimize service costs while maintaining quality standards.
  • Perform market assessment and analysis periodically on market rates, availability, competitor analysis
  • Provide occupancy forecast and ensure leasing targets met – working closely with internal Leasing Team.

3. Customer Service and Tenant Leasing & Renewal Relations

  • Working with the Leasing & Marketing Teams weekly / monthly as required.
  • Address tenant inquiries and complaints professionally through various communication channels (email, hotline, written correspondence, etc.).
  • Foster a high-quality living and working environment to enhance tenant satisfaction.
  • Organize community events or activities for residents/tenants.
  • Conduct periodic tenant satisfaction surveys and suggest necessary improvements.
  • Take responsibility for quarterly updating BOD and the market on Office and Retail Availability
  • Take responsibility and Lead New Tenant Inspections, Negotiations and Renewal Negotiations.

4. Contract and Legal Management

  • Working with the Legal and BOD team Teams weekly / monthly as required.
  • Monitor, review, and execute lease agreements and service contracts related to the building.
  • Negotiate rental terms with new, renewing, or expanding tenants; ensuring notices are served on time and follow up as required taking responsibility and accountability until final completion of transactions.
  • Ensure compliance with legal regulations on building management, occupational safety, fire protection, and environmental protection.
  • Represent the building in dealings with regulatory agencies and legal matters.

5. Human Resources Management and Training

  • Working with the Human Resources Teams weekly / monthly as required.
  • Supervise building operation teams (reception, technical staff, security, cleaning, etc.) and allocate tasks efficiently.
  • Develop training programs to enhance employees’ skills and responsibility awareness.
  • Conduct periodic performance evaluations and suggest improvements to workforce quality.
  • Ensure staff compliance with operational procedures and internal regulations.

Candidate Requirements

  • Role is open for Vietnamese national only. Fluent English proficiency (both written and spoken) is a must.
  • Minimum 3 – 5 years of experience in building management, preferably in Grade B+, A or five-star buildings.
  • Having building management certifications and experience in international standard buildings, international real estate consultancy firm; Commercial, Retail or Residential developer experience (local and foreign developer in Vietnam is fine).
  • Bachelor’s degree in real estate management, Business Administration, Engineering, or a related field.
  • Strong knowledge of building operations, technical systems, fire safety, and legal regulations.
  • Excellent communication skills, with the ability to work effectively with tenants, contractors, and authorities.
  • Expertise in budget management, contract negotiation, and problem-solving with a “can-do” attitude.
